I know this sounds really childish but someone in my organisation can see the full details of my calendar. I want to change it so they can only see when I am busy, not the details.

Is the only way to do this to change their permission, which sends them an email that they can choose to ‘accept’ ie it doesnt appear to be any way of forcing the change?

    Any ideas? Ta

In Sharing and Permissions (click on the 3 dots next to your calendar) you can change the access individuals have to your calendar.

They’ll then get an email stating that you’ve changed their access.

The other option is make the items you don’t want people to see private.

go to calander properties in folder view.

    click tab  permissions

Adjust the permission level – this applys to all users in your org.

Select “Can view when im busy”

    • If they have locked you out of this …. use another calendar app for your schedule and put job interview place holders in the one they can see and schedule toilet breaks etc

As above, but consider this may be overridden by group policy so you might not have an option.  The last place I worked, it was common for your manager to see your calendar by default but you had to grant access for your reports to see yours.

Thanks for the input both. Maybe this process just takes time to take effect.

I tried it with a colleague earlier on and they could still see my full details, even though I had switched them to ‘busy’ only.

Its only when they clicked ‘accept’ on the email that it changed.

Might try again with someone else.

I get really grumpy about people not sharing their calandar at work. Free busy doesn’t show me what people are really doing as we have a separate system for booking time and it’s generally booked in per day in outlook. So all I see is that people are busy all day. So when trying to book meetings it’s a nightmare. You can set it up to just show the title. And anything you don’t want people to see set it to private.

It sounds like you don’t really have a separate system at all if your using Outlook calendar …. it could at least be on a separate calendar

We use Teams “shifts” for that.

The padlock symbol is the best way to make private appointments private
